Passport Services for Trakehners UK - scroll down to view services provided for your new Trakehner horse or foal.

Trakehners UK provides an official passport service, registering your new pure and part bred foal, change of ownership for your Trakehner UK registered foal/horse, registration of an imported Trakehner horse and overstamping of Non Trakehner horse passports who have  Trakehner pedigree/blood.

Foal Registrations.

Firstly, congratulations on breeding your foal.

Please refer to the registration guide on the link below to decide which studbook your foal is legible for, alternatively please contact the Registrar for help and guidance.

Please note that in accordance with DEFRA rules we are only permitted to issue passports for foals born within the United Kingdom.

Foal applications need to be received by the Registrar within 6 months of birth or by 30 November in the year the foal is born, failure to meet these deadlines and your foals pedigree will need to be confirmed via DNA parentage test prior to the formal passport application. Please note that it is a DEFRA requirement that all passports issued for foals who do not meet this deadline are marked “Duplicate”.

What is required for Registration

  • The fully completed registration document and ID Sheet, which must be completed and signed by your veterinary surgeon and which must include the microchip sticker.
  • A copy of the covering certificate from the Stallion owner.
  • The full fee due for the registration. Payment can be made by BACS, online using the PayPal link below or by cheque.
  • For part bred passport applications, in addition to the above, provide documentary evidence of the foal’s non Trakehner sire or dam including a photocopy of their passport pages which details the studbook they are registered with, their registration number and a full copy of their pedigree page.
  • The Original signed documents must still be posted to the registrar in order to process your passport application.  If BACS or PayPal payment has been made please indicate this on your Registration form.

Chilled Semen

  • If chilled semen insemination is used, then in addition to the above registration documents, include an attestation letter on headed paper signed by the inseminating veterinary surgeon or qualified insemination technician. The letter must include; full details of the mare inseminated; dates of insemination; details of the stallion used.

Frozen Semen

  • If frozen semen insemination is used DNA parentage testing is compulsory.

DNA Parentage Test

  • If you have used frozen semen or if the application is later than 30 November in the year the foal is born then unfortunately the application will need to be proceeded by a DNA parentage test to confirm the foal’s pedigree.
  • DNA parentage testing is an additional fee to the registration fee and at owner/ breeders expense.
  • For DNA testing the breeder must submit a sample of mane from the foal, mare and stallion. When registered stallions are used DNA profiles are usually available and samples not required. If the mare has had a DNA test undertaken in the past the DNA profile is usually available. If in doubt please consult the Registrar. The DNA testing fee is
  • For DNA testing the breeder must submit a sample of mane hair from the foal, mare and stallion. We request approximately 30 strands of “pulled” mane hair for each foal/mare/stallion placed in their own sealed envelope with the foal/horses name clearly marked.
  • Once testing is complete and parentage proven then the normal registration procedure is carried out.

Once the paperwork is received by the Registrar it will be checked according to Pure Bred and Part Bred rules to ensure that all details are in place i.e.breed details, date of birth, colour, sex and the covering details are ticked i.e. Natural, AI chilled, AI frozen..

All microchips are checked against the Central Equine Database

If the documentation is correct it is sent for passport production and all relevant information is added to the Trakehners UK database.

If the paperwork is incomplete or incorrect then the Registrar will refer back to the breeder for more information.

Once the passport production is complete the passport is stamped and signed by the Registrar. The passport will automatically be completed to indicate that the horse is not for human consumption.

The passport is then sent to the owner / breeder by Recorded Delivery with a letter asking the owner to notify that it is received safely.

Every effort is made to issue the completed passport to the Breeder within 20 working days from receipt of correct paperwork and payment of fees. If there is to be a delay for any reason then the registrar will contact the Breeder within 15 days and give an estimated time when the passport will be issued.

Foal Branding.

Please note that it is no longer mandatory to have your purebred foal branded.  If you wish to have your foal branded please contact the Registrar to arrange this.

Please be aware that the travel expenses for the brander are not included in your registration fee. The current travel expenses are charged at 50p per mile from the Brander’s home.  A quote can be given on application.  These costs will be shared if there is more than one foal to be branded on the same visit.

Change of Ownership

Firstly, congratulations on the purchase of your new horse.

It is a requirement under the Horse Passport (England) Regulations to register a change of ownership with the relevant Passport Issuing Organisation (PIO) within 30 days of acquiring your horse.

Please download the form below and complete all the sections signing the form as necessary, including the previous owner. If the previous owner section is not completed then “proof of purchase” will be required. (This can be a copy of the purchase receipt or email from the previous owner confirming the sale)

Send the completed form together with payment of £20.00 if you are TBF member or £40.00 if you are not a member with the passport to the Registrar. Payment can be made by bacs or you can pay online using the paypal link below.

All details of the new owner will be added to the passport, it will be stamped and signed by the Registrar. The new ownership will be added to the Trakehner UK database which is also interlinked to the government’s central equine database

The passport is then sent to the owner / breeder by Recorded Delivery with a letter asking the owner to notify that it is received safely.

Imported Horses

All details of the new owner will be added to the passport, it will be stamped and signed by the Registrar. The horse is added to the Trakehner UK database which is also interlinked to the government’s central equine database.

The Registrar will notify the originating stud book of the change of ownership in order that their records can be updated.

The passport is then sent to the owner / breeder by Recorded Delivery with a letter asking the owner to notify that it is received safely.

Overstamping

If your horse fulfils the Purebred or Partbred criteria detailed on the foal registration guide and your horse passport was not issued by Trakehners UK, you can apply to have your horses passport over stamped and the details entered within the relevant stud book.

Send the completed form together with payment for the sum of £40.00 with the passport to the Registrar. Payment can be made by bacs or you can pay online using the paypal link below.

The passport will be over stamped and signed by the Registrar. The horse is added to the Trakehner UK database which is also interlinked to the government’s central equine database.

The passport is then sent to the owner / breeder by Recorded Delivery with a letter asking the owner to notify that it is received safely.
